My Schedule

You can display My Schedule from:

• The My Schedule tile A container that provides navigation or action from its summary view. on your home page The page that is presented to the user upon login, which contains the tiles that let the user access or navigate to common tasks.: click tap the View My Schedule button
• The Main Menu > My Schedule > My Calendar.

The calendar opens to the current month, with the current date highlighted. The and buttons scroll backward and forward through the months. The Today button returns the focus to the current date.

These icons can appear on days on which there is an event — a scheduled shift or a time-off request Request subtypes that employees use to request time off for vacation, illness or recovery, appointments, personal time, or other absences. Time-off requests can be configured to support many different employment scenarios., for example:

• Shifts — a dark gray rounded Rounding is a way to simplify payroll accounting and reporting, and to enforce shift start and end times. Punch rounds divide hours into equal segments of an hour. rectangle represents both regular and transfer shifts
• Approved time-off requests — a green circle with a white check represents approved time-off requests
• Other events — a small bold dot represents any event that is not a shift or an approved time-off request, such as paycode A category of time or money that employees earn, for example, Regular Hours, Bonus, or Sick. edit, leave, and attendance events
• Holidays — an amber flag represents a holiday

Due to space constraints, the calendar can display a maximum of two icons in addition to the holiday icon, which is always displayed. The system displays a more icon () when the day contains more events than can be displayed on the calendar.

When a day contains multiple events, the system displays one event icon and then the more icon () to indicate there are additional events for this date. The event icon that is displayed is based on this priority order:

1. Shifts
2. Approved time-off requests
3. Other events

Note that the shift and approved time off icons are too large to be displayed together, so if both of those events occur on the same day, the shift icon is displayed with the more icon (…).

You can display a legend of the icons used on the calendar by clicking the information icon next to the month and year at the top of the calendar.

The daily events list displays the events on your calendar. It opens to the current date, labeled Today, unless you have selected another date on the adjacent calendar, in which case the events for that date are dsiplayed. You can scroll the list, and you can use the Load more and buttons to display additional past and future events in the list. These buttons are displayed at the top and bottom of the list, respectively, when you scroll.

Today displays this information:

• The shift name and the associated shift icon
• The shift start and end time, and duration
• The job title (for transfer shifts only)
• Individual shift segments Parts of shifts that are assigned to a job in the business structure, either primary or transfer jobs. and breaks (each with its shift start and end time, duration, icon, and the business structure path)
• A more button provides quick access to swap, cover, and time-off requests if applicable.
• A location link that opens Google Maps (if configured for your system)

Information for future and past events is presented in a summary fashion and includes:

• The shift name and the associated shift icon
• The shift start and end time, and duration
• A more button provides quick access to swap, cover, and time-off requests if applicable.
• An indicator if there are available open shifts on that day

Click Tap any event to display more information. Information varies for shifts and requests.

Shifts

When you click tap a shift, the Your Shift panel appears. Information displayed for today's shift and future shifts is the same:

• The shift name and the associated shift icon
• The shift start and end time, and duration
• The job title (for transfer shifts only)
• Individual shift segments and breaks (each with its shift start and end time, duration, icon, and the business structure path)

• When — The date of the shift
• Where — A location link that opens Google Maps (if configured for your system)
• Buttons to quickly create swap, cover, and time-off requests, as configured by your administrator
• Who's working with you — Avatars of colleagues working that shift (if configured for your system).

Future and past shifts are shaded

If configured for your system, future and past shifts are displayed on a background of a lighter shade than that of the job's color (a light blue for a transfer shift for example).

Requests

Requests display summary information including:

• An icon that indicates the type of request and its status
• A background of a lighter shade than that of the job's color

When you click tap a request in the daily events list, the system displays the Your Request panel. This panel has two tabs, Details and History.

The Details tab displays:

• The shift name and the associated shift icon
• The shift start and end time, and duration
• The job title (for transfer shifts only)
• Individual shift segments and breaks (each with its shift start and end time, duration, icon, and the business structure path)
• The date of the shift
• A location link that opens Google Maps (if configured for your system)

The History tab displays:

• The date of the request
• The request's status, including a timestamp

Schedule Insights are widgets that provide important schedule information at a glance (also known as a contextual callout) Provides information and actions in a dialog box for an item on the screen when the user right-clicks or taps the item. that is useful when performing common self-scheduling tasks like making time-off and cover requests. These Schedule Insights widgets can appear on the My Schedule page:

• Accruals displays current vacation and sick time balances, and includes a button to request time off and a link to display accruals details in your timecard.
• My Absence Calendar displays a link to the My Absence Calendar, which provides a yearly view of time off and absences. See My Absence Calendar for more information.
• Submission periods displays information about current submission periods.
• Who's working this week? lets employees easily search for colleagues working shifts they might be interested in. See Show the Location Schedule for more information.
• Coverage — displays the Coverage page, which presents current coverage information for each job you are qualified to work for the current week. Coverage information is displayed by zone or shift span for those jobs. You can use coverage information to support your decision making when planning time off and when seeking other shifts.

Display Schedule Insights
If Schedule Insights has been configured for your calendar, it is displayed by default if your display is wide enough. Any Schedule Insights widgets that have been configured for you are displayed in a column on the right side of the My Schedule page.
If Schedule Insights is not visible, you can display it by either:
• Fully expanding UKG Pro Workforce Management in your display. Available Schedule Insights widgets are displayed automatically and require no further action.
• Using the open button, on the right side of the My Schedule menu bar. How Schedule Insights widgets are displayed depends on where you are running UKG Pro Workforce Management:
  • On the desktop, Schedule Insights is displayed as an overlay on the My Schedule page. The My Schedule page is visible but inaccessible while Schedule Insights is open. To return to My Schedule, close Schedule Insights.
  • On mobile devices and tablets, Schedule Insights behaves as a new panel, replacing My Schedule. To return to My Schedule, close Schedule Insights.
  • To close Schedule Insights, use the close button.

By default, the daily events list displays the events that have been configured for your default display by the system administrator. If you choose, you can modify your display to include only the events in which you are interested. You can remove existing events and you can add others.

Note: Filters affect information represented on the calendar and displayed on the daily events list.

Filters are grouped in these categories:

• Event type (can include attendance, if configured)
• Request type
• Request status

More about attendance items

Your calendar can be configured to display these attendance items:

• Action
• Balance Adjustment
• Balance Reset
• Discipline Level Transfer an employee from one attendance policy to another discipline level following occurrences of attendance events. Discipline levels are also referred to as steps. Change
• Event
• Marker (history and timecard)
• Perfect Attendance A collection of attendance events, attendance patterns, or combined events that disqualify an employee from attaining perfect attendance. (award and disqualification)

If one or more of these items has been configured by the system administrator for display on your calendar, the Attendance filter appears in the Event Type group in the Filters panel. The filter affects all attendance types, as a group, that have been configured for display — all configured attendance are displayed, or they are hidden.

How to filter events on the My Schedule page

1. On the My Schedule page, click tap the Filter button.
2. Currently selected filters are indicated with a marker at the top of the Filters panel; these markers correspond to selected items in the Event type, Request type, and Request status categories on the panel.
2. You can remove and add filters.
• To remove a filter, you can:
  • Click Tap Close on the marker associated with the filter you want to remove.
  • Clear the check box associated with the filter from the list.

• To add a filter, select the check box for the desired filter.

3. If you change your mind, click tap Reset to undo any changes you have made and restore the default filter settings.

4. Click Tap Apply to apply the filter to your calendar and events list.

These indicators (symbols and colors) are used in the My Schedule events list and in the Your Shift panel.

Main controls

These are the main controls on the My Schedule page:

• Filter — Controls the events that are represented in the calendar and displayed in the daily events list.
•  Open Schedule Insights — Displays configured Schedule Insights widgets.
•  Close Schedule Insights — Hides Schedule Insights widgets.

Calendar controls and indicators

These are the controls and indicators displayed on the calendar on the My Schedule page:

• Event — Indicates that there is one or more events on this date.
• Today — Returns the calendar focus and daily events list display to the current day.
• Previous month — Scrolls the calendar to the previous month.
• Next month — Scrolls the calendar to the next month.

Daily events list indicators and controls

These are the indicators and controls displayed on the daily events list on the My Schedule page:

Segment and shift indicators

• Segment tag — The event has one or more segment tags.
•  Regular shift — A regular shift scheduled by your manager.
•  Regular shift (self-scheduled) — A regular shift self-scheduled by the employee.
•  Transfer shift — A transfer shift scheduled by your manager.
•  Transfer shift (self-scheduled) — A transfer shift self-scheduled by the employee.
•  Open Shift — An open shift.
•  Break — Indicates a shift break.
• Location — If configured, opens a map displaying the event location.

Request and leave indicators

• Request submitted — The request has been submitted and is pending or in progress.
• Request approved — The request has been approved or accepted.
• Request canceled — The request has been canceled, invalidated, or refused.
•  Leave — The event is a leave case.

Attendance indicators

• Event — An occurrence in a typical work day that is used to build your organization's attendance policies.
• Action — A response to an event or attendance pattern.
• Perfect attendance disqualification — An event that resulted in the failure to meet standards established for perfect attendance.
• Perfect attendance award — An event that resulted in meeting standards established for perfect attendance.
• Balance adjustment / reset — An adjustment to or reset of the employee's attendance time or points balance occurred.
• Discipline level change — The employee was transferred from one attendance policy to another discipline level following occurrences of attendance events.
• History marker — A change in the employee's history occurred, such as being transferred from one region to another; assessing adherence to attendance policies uses data after the event represented by the marker.
• Timecard marker — External attendance data was imported into the system and was used to assess adherence to attendance policies prior to the event represented by this marker; timecard data is used for this purpose after the event represented by the marker.

Other indicators

•  Skills and certifications — The event has skills or certifications information.
• Paycode — The event is a paycode.
• Schedule tag A graphic on the schedule that identifies a specific characteristic that applies to a specific employee on a specific day. Not a shift or a pay code. Example: On call. — The event has one or more schedule tags.
• Blackout day — Indicates a day on which no team absences are allowed.
• Holiday — Indicates a holiday.

Controls

• Load more (past) — Scrolls the daily events list to display events in the past.
• Load more (future) — Scrolls the daily events list to display events in the future.
• Expand month — Expands the calendar to occupy the available space. (Mobile only.)
• Collapse month — Collapses the calendar to its default dimensions. (Mobile only.)
• More — Displays a menu of actions related to the event (swap and cover requests for a shift, for example).
