Historical corrections saved without privileges
When attempting to save a timecard, there may be times when there are pending historical corrections Edits that occur after timecards are approved and signed-off. that are also saved (typically, these are non-timecard corrections). If these pending historical corrections are saved by a user that does not have permission to make edits to signed-off time (that is, users who have the FACP "Edit Signed Off Time" set to disallowed) you can configure how totals are handled and if an automatic comment is included with the correction.
- Include in Totals — Determine if pending corrections saved by users without permission are included in the next pay cycle totals.
- Comments — Include an automatic comment for each pending correction saved by a user without permission to edit signed-off time. This comment makes it easier to identify these types of saved corrections.
Note: Regardless of the status of the include in totals setting, totals are always included in the historic date.
This also applies to historical time-off requests Request subtypes that employees use to request time off for vacation, illness or recovery, appointments, personal time, or other absences. Time-off requests can be configured to support many different employment scenarios. (GTORs) when a manager that does not have permission to edit signed-off time approves or cancels a historical time-off request.
Configure historical corrections saved without privileges
- Enable the feature for how to handle historical corrections saved by users without permission by setting the following system setting to true:
- site.timekeeping.historicalCorrectionsPersistingWithoutEditPermission.enable
- Once this setting is set to true, automatic comments are included for each pending correction saved by a user without permission to edit signed-off time. The default comment is “Correction saved without access”. To change the comment, use the following system setting:
- site.timekeeping.historicalCorrectionsPersistingWithoutEditPermission.comment
- The selection list for this setting includes all comments in the Paycode A category of time or money that employees earn, for example, Regular Hours, Bonus, or Sick. category. For auditing purposes, it is not recommended to remove the comment. If you do need to remove the comment, you can do this by selecting the blank row.
- To include corrections saved by users without permission in totals, set the following system setting to true:
- site.timekeeping.historicalCorrectionsPersistingWithoutEditPermission.includelnTotals
- This setting is only in effect when the setting “site.timekeeping.historicalCorrectionsPersistingWithoutEditPermission.enable” is also set to true.
- This setting overrides the “site.timekeeping.historicalCorrectionsIncludeInTotals” system setting only in the specific scenarios where the logged-on user does not have permission to edit signed-off time.
Dataview information
A payroll administrator or manager can run an Audit Dataview A configurable tool for analyzing data and taking actions on a group of employees or an organization. that shows all saved corrections that have the automatic comment (that is, all corrections that were saved by users without permission). This can help when they need to review these corrections to determine if they need to include them in totals.
To achieve this, create a hyperfind A search engine that filters and selects groups of employees through queries that specify conditions or locations (criteria). condition that uses Historical Corrections on Historic Date with the comment used for the correction.
