Request Availability Change from My Schedule

Note: This information applies to submitting availability change requests from My Schedule. If you are using My Calendar for employee self-service, see Request Availability Change from My Calendar.

Employees can enter and request availability changes to let their employers know when they are available or not for work. The availability changes can be for a one-time event, for one or more days, or they can be made to the long-term schedule.

To submit requests from My Schedule to change your availability:

  1. Open My Schedule using one of these methods:
  2. From My Schedule, click tap Request then select Availability.

  3. If necessary, on the calendar select the days for which you want to change your availability and click tap Next. (The current date is selected by default.)
  4. In Availability Change, select one of the following:
    • Availability Request: Change availability once for a single day or multiple days. Click Tap Apply; go to Availability requests.
    • Availability Pattern Request: Change availability in your longer-term schedule pattern. Click Tap Apply; go to Availability pattern change requests.
    • Note: The types of change requests that are available depend on how your manager has configured your system.

Availability requests

  1. Click Tap the day or days on which to change your schedule. To select two or more contiguous days, drag the mouse pointer over the days you want.
  2. Note: The current day is selected by default and is included in the request unless you clear the selection by clicking that day.
  3. Click Tap Next.
  4. Set your availability, as follows:
  5. Click Tap Review.
    1. Toggle between Show List and Show Calendar to view your requests in different formats and detail. Clicking on a day in the calendar displays a summary of the availability configured for that day.
    2. In either view, edit your request, submit it, or cancel it. Days can be added using the calendar. Click Tap Add Days in the list view to display the calendar.
  6. (Optional) Click Tap Comments to add comments and notes to the request.
  7. Click Tap Submit to submit your requests.

Availability pattern change requests

Note: Any rules defined for availability patterns are displayed at the top of the panel.

  1. Select the Start Date.
  2. A calendar is displayed on the Availability Change panel. Highlights on the calendar reflect default pattern settings and any pattern rules.
  3. Example: If rules specify that your patterns must start on Mondays, and the default frequency is one week (every 7 days), the calender highlights the seven-day period starting on Monday of the week of whatever day you select.

  4. In End Date, select Forever, or Specify Date and then select the date.
  5. In Repeat Every, select the number of days or weeks that you want the availability pattern to be in effect.
  6. Click Tap Next. The panel refreshes to display a list of days in the pattern, starting with either the day you selected, or the first day of the pattern specified by the rules.
  7. By default, the availability period for days in an availability pattern is 24 (from 12:00 AMI to 12:00 PM. To change the availability period of one or more days in the pattern:
    1. Select the days of the week individually, or click tap Select All to specify the same availability for all days in the pattern.
    2. Click Tap Edit Availability.

      Note: (Optional) Click Tap Show List to change the view to a list. To return to the calendar view, click tap Show Graph .

  8. Set your availability, as follows:
    • In Status, select one of the following: Available, Unavailable, Preferred Available, or Preferred Unavailable.
    • Enter the Start Time or End Time.
    • (Optional) Click Tap Add Another Timeframe to change your availability for additional segments.

      Example: You are available from 8 AM to 5 PM and unavailable 5 PM to midnight.

    • Select one of the following:

      Merge with Previously Scheduled Availability to maintain your previous availability while adding the changes.

      Replace Previously Scheduled Availability to replace your previous availability entirely with the changes.

    • Click Tap Save.
  9. Click Tap Review.

    2. In either view, edit your request, submit it, or cancel it. Days can be added using the calendar.

  10. (Optional) Click Tap Comments to add comments and notes to the request.
