Justify or approve missing time exceptions (managers)
Missing time is scheduled time that was not worked, for example, a late-in, early-out, long break, unexcused absence, or core hours violation. Missing time exceptions can be configured to auto-resolve with a duration paycode A category of time or money that employees earn, for example, Regular Hours, Bonus, or Sick., which managers and employees can then justify in the timecard. When there is missing time that requires attention by the logged on user, Action Required
Missing time can only be justified in hourly timecards The type of timecard used by employees who punch in and out several times each day. (table or list view).
When justifying time, managers can accept the employee’s justification or they can change the duration paycode selected by the employee. After manager approval, the exception is considered justified and marked as reviewed. The timecard reflects both of these with the appropriate exception indicators. Once justified missing time has been approved, employees can no longer edit the justified time.
Notifications for missing time exceptions can be set up to alert:
- Employees and managers of auto-resolved missing time
- Managers of employee-justified missing time
- Employees of manager-justified missing time
Dataviews A configurable tool for analyzing data and taking actions on a group of employees or an organization. can be configured with columns to show missing time status and counts of missing time exceptions (auto-resolved, employee justified, or manager justified).
Note: If the Justify Exception option is not selectable, you may need to check your setting for the Calculate totals on-the-fly in My Timecard function access control point. If this is set to disallowed, and you have made changes in the timecard prior to attempting to open the Justify Exception panel, then you will need to either save your changes or select Calculate Totals and then the Justify Exception option should be available for selection.
- Open an employee timecard, and then right-click the date cell, punch The entries on a timecard that mark the beginning (in-punch) or end (out-punch) of a work interval, such as the beginning of a shift or transfer. cell, or absence cell that contains Action Required

The exceptions for that date are listed and it is noted if the exception was Auto-Resolved, Manager Justified, or Employee Justified.
- Select Justify Exception
. - In the Justify Exception panel:
- If the exception has been justified by the employee, the paycode and timespans are filled in. Review the information and accept or edit as necessary.
- If you need to justify the time or edit the justified time, select a duration paycode for the missed timespan. Select Add Timespan if you need additional timespans. You can add up to three timespans.
- Optionally, add comments and notes.
- Select Approve.
- Select Save
. - After saving, the Action Required button no longer appears, and the timecard and totals are updated with the paycodes used for justification.
- Open an employee timecard, and then select a day that contains Action Required
. - Locate the auto-resolved or employee justified exception and select More Actions
> Justify Exception . - In the Justify Exception panel, select a duration paycode for the missed timespan.
- If you need additional timespans for the missing time, click Add Timespan. You can add up to three timespans.
- Optionally, add comments and notes.
- Select Approve.
- Select Save.
- After saving, the Action Required button no longer appears, and the timecard and totals are updated with the paycodes used for justification.
Undo justification allows you to revert a missing time justification to its last saved state. When you undo justification of missing time, the paycode, missing time status (auto-resolved, employee justified, or manager justified), and exception icon are all reverted to the previous state. For example:
- Missing time that has been employee justified reverts to an auto-resolved state.
- Missing time that has been employee justified and then manager justified reverts to an employee justified state.
- If a manager justifies missing time without an employee's justification, the missing time justification reverts to an auto-resolved state.
If there are multiple spans for missing time, undo only applies to the missing span that appears on the active Justify Exception panel. If a missing time span has multiple exceptions, all of these are undone when you undo justification.
Managers cannot undo an employee's justification and employees cannot undo a manager's justification.
Undo missing time (table view)
- Open an employee timecard, and then right-click the cell that contains the justified missing time you want to undo.
- From the glance, select Justify Exception
. - In the Justify Exception panel, click Undo Justification.
The Justify Exception panel closes and the timecard is updated. After the timecard is saved, an entry is made in the Audit tab to indicate Manager Justified Time - Delete.
Undo missing time (list view)
- Open an employee timecard, and then select a day that contains the justified missing time you want to undo.
- Locate the justified missing time exception and select More Actions
> Justify Exception . - In the Justify Exception panel, click Undo Justification.
The Justify Exception panel closes and the timecard is updated. After the timecard is saved, an entry is made in the Audit tab to indicate Manager Justified Time - Delete.
