Map Contact Data By Institution
Contact information — such as email addresses, phone numbers, or SMS flags — can be mapped differently for institutions within an organization. Flexible mapping allows you to manage contact information differently by institution or differently between systems.
Examples:
- Employees manage their phone numbers in TeleStaff or Workforce Planner, but you manage their email addresses in Dimensions.
- You can map a phone number's SMS flag to disable, manually enable, or validate SMS.
Default contact data mapping
By default, contact data is mapped as follows:

Change the mapping of contact data
To map contact data differently by institution, do the following:
Enable mapping by institution and map the contact data for the People Export integration.
- Select Main Menu
> Administration > Application Setup > Integrations Setup > Design Integration Templates. Note: See the Configure the TeleStaff People Export Integration or Configure the Workforce Planner People Export Integration topic.
- Select Process Properties.
- In EnableContactByInstitution:
- Clear Use Default.
- Select Value.
- Select Cross Reference.
- Select the _MapByContact cross-reference table.
- Enter the values for the ContactPolicyID, WFDEmail, WFDContact1, WFDContact2, WFDContact3, and SMSFlag columns.
- WFD = Dimensions.
- Special characters Special characters are characters that are neither alphabetic nor numeric. These characters may not be allowed in text because they have programmatic uses. Other terms for special characters include reserved characters, restricted characters, forbidden characters, excluded characters, included characters. in phone numbers are ignored.
- SMSFlag indicates whether phone numbers are enabled for SMS as follows:
N: The phone number cannot be used for SMS.
Y: The employee must validate whether the phone number can be used for SMS messages.
V: The phone number is validated as enabled for SMS, and the employee does not have to validate the number.

- Select the _Institution cross-reference table.
- Enter the values for the Home Institution, FocusFilter, Base Authority, Login Policy, Formula Id, LocationId, PayInfoId, SignupShiftGroup, CalendarShiftGroup, LogAs, CloneNewProfiles, and ContactPolicyID columns.
- ContactPolicyID = The ContactPolicyID from the _MapByContact cross-reference table.
- When you finish, click tap OK.
Alternatively, you can enable contact data mapping by institution when you Install TeleStaff Integrations or Install Workforce Planner Integrations.
- Select Main Menu
> Administration > Application Setup > Integrations Setup > Install Integrations. - In Integration Parameters, set the following parameter:
EnableContactByInstitution
Parameter Name: (Required) EnableContactByInstitution; must be exactly the same spelling as the Template Parameter.
Description: (Optional)
Template Parameter: (Required) Select EnableContactByInstitution.
Parameter Type: (Required) Select Boolean.
Default Value: To use institution-based contact mapping, enter True.
User Prompted: To prompt the person who manually runs the integration to set this parameter, select Yes.
Caution: If you select Yes, the people who run the integrations can change this setting, and the results in the Run Summary become inconsistent between integration runs. To prevent changes, select No.
- Click Tap Save.
