Manager approval required before timecard saved
You can configure timecards so that when an employee edits a timecard and clicks Save, the following message appears:
- Information Your changes have been submitted but will not display until they are approved.
When this happens, a notification is sent to the employee's manager so the manager can review and approve or reject the timecard. The employee can click View Pending to see the status.
After the manager approves or rejects the timecard edits, the employee receives an alert about the manager's actions.
Note: If a manager has permission to approve an employee’s timecard but they do not have permission to edit the employee’s timecard then they cannot approve pending timecard changes. You can bypass this restriction by setting the Bypass permissions for approving pending timecard changes function access control point to allowed for managers.
To configure this, do the following.
- From the Main Menu, go to Administration > Application Setup > Access Profiles > Function Access Profiles.
- Select an employee and click Edit.
- Expand Employee and go to Timecard Editor for Employees (My Timecard) and set Automatically submit timecard edits for manager approval to "Allowed."
- From the Application Setup page, select Control Center Setup > Control Center Profile.
- Click Create or select a profile and click Edit.
- On the edit page, select Timekeeping Requests.
- Click Save.
Now you must select two notifications mappings: one to trigger the change request and one to trigger the request review.
- From the Application Setup page, select Common Setup > Control Center Notification Mapping.
- To configure the change request notification, click Create and then provide the following information:
- Event Name — Enter a name, for example, "Timecard Change Request Notification."
- Domain — Select Timekeeper.
- Event Type — Select Timecard Change Request.
- Notification — Select Timecard Change Request Notification.
- Navigation — Select Timecard.
- Icon — Select an icon to appear on the timecard.
- Click Save.
- To configure the request review notification, click Create and then provide the following information:
- Event Name — Enter a name, for example, "Timecard Request Review Notification."
- Domain — Select Timekeeper.
- Event Type — Select Timecard Change Request.
- Notification — Select Timecard Review Request.
- Navigation — Select Timecard.
- Icon — Select an icon to appear on the timecard.
- Click Save.
Note: Employees who use web-based timecards can do anything they have permission to do in the timecard but when they click Save, their timecard it is sent through this approval process. Employees who use data collection devices can only add punches The entries on a timecard that mark the beginning (in-punch) or end (out-punch) of a work interval, such as the beginning of a shift or transfer..
